How it works

Follow one unit, factory to homeowner

Every party in the chain works in software shaped for them — but they all read and write to one shared record. Here's the journey, and how the handoffs connect.

The lifecycle

A strict state machine, by design

The enforced sequence is exactly what makes the record dependable for warranty claims, manufacturer recalls, and channel audits.

Select a stage to inspect it

StatusCREATED

The manufacturer creates the unit's digital record and binds its QR/NFC tag. The serial number is globally unique and locked for life.

Enforced — Nothing can ship until the unit passes inspection.

No step is skippable — a failed inspection or install loops back for rework, and every transition is audit-logged with user, time, and IP.

The journey

Four phases, one continuous record

01Manufacturer

Manufacturing & quality control

A unit is created with a model and a globally unique serial, and assigned a QR/NFC tag. A quality inspector records pass or fail. A unit can't move forward until it passes — failures loop back for rework and re-inspection.

02Distributor

Distribution

Passed units are batched and shipped to an authorized distributor. The distributor scans tags to confirm receipt and notes any damage. Inventory is now tracked by serial in the dealer portal.

03Contractor

Installation

A contractor picks up units, and on site scans a tag to record the install — homeowner, address, permit, and technician. The unit is marked installed, warranty is auto-calculated from the model, and the homeowner account is created.

04Homeowner

Ownership & service

The homeowner sees their unit, warranty status, and service history on web or mobile. They request service, get maintenance reminders, transfer the unit when they sell the home, and share details with an inspector via a private, expiring link.

The handoffs

Five surfaces, one source of truth

The same unit record flows between purpose-built apps as it changes hands.

01Manufacturers

Manufacturer Portal

Create units, run QC inspections, ship to the dealer network, and manage warranty and dealer authorizations.

02Distributors & Contractors

Dealer Portal

One unified portal to receive shipments, manage multi-brand inventory, run the parts queue, and record installs.

03Homeowners & Inspectors

Consumer App

Homeowners see warranty status and service history, transfer ownership, and share unit info with inspectors.

04Homeowners

Homeowner Mobile App

A companion app for service requests, maintenance reminders, contractor messaging, and tap-to-open unit access.

05Contractors

Contractor Mobile App

A field app to scan QR/NFC tags, receive shipments, record installs and startup surveys, log service, and message homeowners.

Across the network

The same flow, many brands at once

Run a single manufacturer today or onboard more later with no rework. Each manufacturer is an isolated tenant, while dealers see every brand they're authorized for in one portal.
